Flexible
TenDocs is flexible, to fit the way you do business.
Your agency will use one or more document scanners to archive your documents. You can have one centralized scanner, or you can have many desktop scanners for your staff—or you can do both.
You can scan a document while you are working in your Tenmast system, right from the record related to that document, and you can scan a document from outside the Tenmast system.
You can archive directly—without scanning—any report generated by your Tenmast system. You can even "print" documents into your archive from Microsoft Word or Excel or any other software that has print capability. All the documents go into the same archive.
Indexed
Having all your documents imaged and archived isn't much good if you can't find what you need, when you need it. Sending document images into a black hole helps no one.
A key feature of TenDocs is its powerful indexing or "tagging" capability. Each document is tagged in order to link it to the corresponding record in your Tenmast system.
This means when you are on a tenant's record in your Tenmast system, all the archived documents for that tenant's household are right at your fingertips. When you are on an employee's record, all of that employee's archived documents are readily available. The same is true for landlords, vendors, units, and work orders. If you want to scan and tag documents that are not related to your Tenmast data, you can do that, too—and they're just as easy to find again when you need them.
If you archive documents from within your Tenmast system, the tagging is automated for you. If you archive from outside your Tenmast system, our Quick Load interface provides a quick and easy way for you to tag documents manually.
Secure
TenDocs provides both user-access security and physical security for your archived documents.
For documents related to your Tenmast data, user access is controlled by the security settings already defined in your Tenmast system. In other words, a user can access an archived document only if that user can also access the Tenmast record related to the document. No additional security setup is required. If you archive documents that aren't related to your Tenmast data, you can define the categories of documents each user is allowed to access.
Physical security is just as easy. Your TenDocs archive resides on your network in its own separate database. Your network administrator can simply add that database to your regular backup schedule, and your entire document archive is safe and secure.
Accessible
Your archived documents are readily available, even for your staff who work at remote sites. You can view or print documents, or you can e-mail them. E-mailed documents are sent as PDF attachments, so anyone can use them. If you have a fax server, you can also fax archived documents.top of page
